How show day runs with us

The planning starts weeks earlier. But this is the part you will remember, so here is what our crew is doing while you focus on your guests.

  1. Load-in

Gear arrives on the dock already tested and labeled for each room.

  2. Build and focus

Screens, projection, audio and lighting go up and get aimed for your room layout.

  3. Rehearsal

Speakers check mics, slides and video playback with the operator who will run their session.

  4. Show

Our technicians run audio, video and stream, and stay on headset until the last cue.

  5. Strike

We pack out on the venue's schedule and leave the room the way we found it.

From empty ballroom to show-ready

This is a full LED wall load-in at the Fontainebleau Miami Beach, sped up: truss, lifts, panels, then the wall lights up.

Every show we produce goes through the same steps, whatever the size of the room.

Big-company experience, small-company attention

Most events this size end up with a national production company that treats you as one job among hundreds. We built Presentation Partners to work the other way.

You talk to the people who will be in the room on show day. We listen to your program, audience and venue, specify only the equipment you need, install and test it before your presenters arrive, and stay on site until the room is clear.

Questions planners ask us

What areas do you serve?

We produce events nationwide. Our crew and equipment travel to conferences and corporate events in any US state. Our headquarters is in Doral, Florida, so we also work across South Florida every week, from Miami and Fort Lauderdale to Palm Beach and Naples.

What kinds of events do you support?

Corporate meetings, conferences and conventions, general sessions and breakouts, trade shows, galas and awards dinners, association programs, and hybrid or live-streamed events. Events range from a single boardroom to multi-room conferences at convention centers.

Can you just rent us equipment, or do you also run the show?

Both. You can rent projectors, screens, sound systems, microphones and lighting with delivery and setup, or have our technicians plan and operate the full production on site.

Our hotel has an in-house AV company. Can we still use you?

Often, yes. Many hotels have a preferred or exclusive AV provider, and some charge fees when an outside company is used. Check the AV section of your venue contract before you sign, and send it to us. We will tell you what it means for your budget.

How much does AV for a corporate event cost?

It depends on the room count, audience size, how many days, and whether you need streaming, lighting or video production. Send us your date, venue and agenda and we will return an itemized quote so you can see exactly what each piece costs.

How far in advance should we book?

As soon as you have a date and venue. Multi-day conferences benefit from planning several months ahead. Smaller meetings can often be supported on shorter notice, so call us to check availability.

Have a date and a venue?

Tell us about the event and we will put together an itemized AV plan and quote.
